Why flat-fee
Nearly every EHR serving home health, personal care and residential services charges per user. That model was designed for large organizations with stable headcount. Applied to an agency with eight DSPs and normal turnover, it does something perverse: your software bill rises every time you hire, and keeps charging for people who left.
Small agencies end up rationing logins. Shared accounts appear. The audit trail — the entire point of the system — stops being attributable to individuals. The pricing model actively undermines the compliance the software is supposed to support.
Sothcare charges one flat monthly fee per service line, with unlimited staff accounts. $199 for Group Home or Assisted Living, $399 for Non-Medical Personal Care, $519 for Skilled Home Health. Agencies running more than one line save 15% on each additional one.
Who we build for
Independent operators running one to a handful of homes or a small clinical team. The agencies that are too small to interest enterprise vendors and too regulated to run on spreadsheets.
Our deepest state-specific work today is Minnesota — 245D group homes and adult foster care, 144G assisted living, and the HHAeXchange EVV requirements that apply to both. The platform is multi-tenant and multi-state; Minnesota is where the compliance workflows are most built out and where we are currently focused.
How we work
Demos are 20 minutes, run by a founder, on the live product. Pricing is published on the website rather than quoted after a discovery call. Implementation runs in parallel with your existing system instead of cutting over on a date and hoping.
Support goes to a person who can change the product. That is a genuine advantage of being small, and it stops being true at some size — we would rather be honest that it is true now than pretend it will scale forever.
There is no annual contract and no early-termination fee. If we stop being worth $199 a month, you should be able to leave.
Security and compliance posture
Every customer signs a BAA before PHI is loaded. AWS-hosted with a signed BAA, private RDS, AES-256 at rest, TLS 1.3 in transit, mandatory MFA, role-based access, and audit logging on PHI access. SOC 2 Type II is in audit.
We publish what is true today rather than what will be true after the next release. If a capability is in progress, we say so on a call.
